Success story
We spoke with Jason Miller, Corporate Marketing Web Developer at Nintex, to learn why they replaced Coveo with AddSearch—and how it helped them streamline their complex web ecosystem with less effort and more control.
Nintex switched to AddSearch for a scalable, low-maintenance search solution that empowered their team and improved user experience.
“The search maintenance is just amazing. We don’t need to worry about it anymore. The flow is simple, indexes are updated immediately, and changes are painless. The speed of maintenance alone is a huge benefit.
Once the implementation was done, I literally had to spend zero time maintaining it.”

Nintex helps over 10,000 organizations across 90 countries reduce inefficiencies through automation—boosting productivity in departments like sales, HR, finance, and software. But while their tools simplify complex workflows, their own website experience wasn’t nearly as efficient.
With a centralized English-language site, multiple regional versions, microsites, and content-specific subdomains (some hosted externally or built on WordPress), users often struggled to find the content they needed.
To solve this, Nintex implemented a third-party search platform—Coveo—but it soon became clear that it couldn’t scale with their evolving needs. Their fragmented setup demanded a smarter, more flexible search experience that could keep pace without causing internal bottlenecks.
As Nintex’s digital presence expanded, it became clear that their existing site search solution wasn’t keeping up. What was meant to streamline content discovery instead introduced new challenges.
With Coveo, basic changes to the search experience required skilled developers, creating costly bottlenecks and slowing down the team. Indexing issues across third-party domains meant users still couldn’t reliably find relevant content—leading to frustration on both sides of the screen.
“I compared it [Coveo] to a cruise ship. If you wanted to change something, it took a lot to turn the ship. There were also a lot of specialists required to work on the code and integrate it with the site, so when we wanted to make small changes, we couldn’t just go in easily and do what was required.”

After considering many site search engines, including ElasticSearch, Jason thought AddSearch might be too good to be true: “All the other providers we were considering had the features we needed, but they were significantly more complex and much more expensive.”
Beyond its powerful search capabilities, AddSearch stood out with responsive customer support and quick implementation, making it the clear choice for Nintex.
They noted that Implementation was surprisingly simple— exceeding Nintex’s expectations. “The rollout was exceedingly easy. I’m astonished at how easy it ended up being! Also, the support we got was amazing.”
As a result, Nintex finished the transition one month ahead of schedule. For a small internal team, this was a major win.
With AddSearch in place, Nintex quickly saw improvements in search functionality, from better indexing to higher result accuracy.
Managing content across nine different systems was challenging, but our custom fields allowed Nintex to create a unified search experience. Users could search by subdomain and content type, ensuring accurate and relevant results.
Nintex’s community site had 25,000+ pages and nearly 100,000 indexed results, but third-party capitalization inconsistencies caused indexing issues. Using site areas, Nintex excluded problematic data without changing their code.
“The fact that the AddSearch platform was able to do that and basically ‘fix’ the third-party issues was just amazing.”
Users searched for internal acronyms and shorthand that weren’t always present in Nintex’s content. With synonyms, Nintex linked terms like ‘NWC’ to ‘Nintex Workflow Cloud’ and related phrases—improving search accuracy without altering existing content.
Before AddSearch, new content could take a week to appear in search. By integrating AddSearch’s API into WordPress, indexing was automated, and new content appeared instantly.
Nintex users often searched using exact match queries, anticipating precise results. However, their previous search solution struggled to deliver this, which led to frustration. With AddSearch’s ranking management, Nintex could prioritize exact match results while showing related content below.
Switching tools completely removed the manual effort Nintex had faced with Coveo. The impact was clear:
